Share this statement with the retailer before every collection visit, so there is no argument about the figure.
Credit Limits and Credit Days
Set two numbers for every customer:
- Credit limit: the most they can owe at any time, for example โน1,00,000.
- Credit days: how long each bill can stay unpaid, for example 30 days. A bill dated 1 October is then due on 31 October.
With the ledger above, a new โน45,000 order would take the balance to โน1,05,800, over a โน1,00,000 limit. Good software warns the billing clerk before saving, so the decision is made consciously, not discovered at month-end.
Sort outstanding bills by age: 0โ30, 31โ60, 61โ90 and over 90 days. Money stuck past 60 days is where bad debts are born. Chase the oldest first, not the biggest.
Party Price Lists and Schemes
Distributors rarely have one price. A large retailer gets a better rate than a small one, and a sub-dealer gets a dealer rate. Keeping that in a diary means the billing clerk guesses. A party price list stores each customer's agreed rates, so picking the customer loads the right price on every line.
Salesmen, Cheques and Collections
- Salesman-wise sales: tag each bill to the salesman who booked the order and see their sales report.
- Post-dated cheques: record each PDC with its date, so you deposit it on time and know which ones bounced.
- WhatsApp reminders: send a polite reminder with the amount and your UPI ID before and after the due date.

Delivery Challans and E-way Bills
When goods leave on your vehicle before the final invoice, a delivery challan covers the movement. Record the e-way bill number and vehicle number on the invoice, so the driver's paperwork and your books match.
