Your customers already live on WhatsApp and pay with UPI. Two small changes connect your billing counter to both: send the bill on WhatsApp instead of (or as well as) printing it, and put a UPI QR code on the bill whenever money is still owed. Paper bills get lost, while a WhatsApp bill stays in the customer's chat. A QR with the balance already filled in turns "I'll pay later" into a payment that evening. Here is how to set both up properly.
Why Send Bills on WhatsApp?
- Nothing gets lost: the customer can find the bill in their chat months later for a warranty or return.
- Lower printing cost: fewer thermal rolls, especially for regular customers.
- Your shop in their chat list: every bill puts your name back in front of them.
- Faster for delivery and phone orders: the bill reaches the customer before the goods do.
- Proof for both sides: a dated, itemised record that ends "I never bought that" arguments.
What a Good WhatsApp Bill Message Contains
A WhatsApp bill should be readable at a glance on a phone:
- Your shop name and a greeting with the customer's name
- The bill number and total
- Amount paid and balance due, if any
- Loyalty points earned, if you run a points program
- A link to view or download the full itemised bill
- A thank-you line, and for a balance, your UPI ID
A message in the customer's own language reads as personal. Many shops in Gujarat, Tamil Nadu and the Hindi belt see better responses when messages are in Gujarati, Tamil or Hindi rather than English.
How the UPI QR on a Bill Works
A UPI QR is just a payment request encoded as a picture. It holds your UPI ID (VPA), your shop name and, optionally, the amount and the bill number. When the customer scans it with any UPI app (PhonePe, Google Pay, Paytm, BHIM or a bank app), the payment screen opens with your details filled in.
Example: a part-paid bill
A customer's bill comes to โน1,260. They pay โน500 in cash at the counter. The bill prints with a balance of โน760 and a QR with โน760 and the bill number pre-filled. That evening the customer scans it from home and pays, with no typing and no wrong amount.
A payment QR on a fully paid bill confuses customers, and some pay twice. Print it only when there is a balance, with that balance as the amount.
Step by Step: Setting It Up
- Get a business UPI ID from your bank or payment app. Use one in the shop's name, not a staff member's personal ID.
- Enter the UPI ID in your billing software's company settings.
- Capture the customer's mobile number at billing. Without it there is nowhere to send the bill.
- Send the bill from the bill screen. The software opens WhatsApp with the message ready, and you tap send.
- Record the payment when it arrives, against the same bill, so the balance clears.
Common Mistakes to Avoid
- Trusting the screenshot: always confirm the money in your bank or UPI app before marking a bill paid. Fake payment screenshots are a known trick.
- Personal UPI IDs: payments land in someone's personal account and are hard to reconcile.
- Sending without consent: ask once if the customer wants bills on WhatsApp. Most say yes, and it keeps you on the right side of spam complaints.
- Bulk promotional blasts from your personal number: WhatsApp can restrict numbers that send too many unsolicited messages. Keep billing messages transactional.
Payment Reminders on WhatsApp

- WhatsApp Business API: paid through approved providers, sends messages automatically from a server using pre-approved templates, and suits shops sending many bills and reminders a day.
