Khata App for Shop: Track Udhaar and Get Paid Faster

Almost every Indian neighbourhood shop gives udhaar: credit to regular customers who pay at the end of the week or month. It builds loyalty, but it also ties up cash, and the khata notebook has a way of losing entries, getting wet, or starting arguments over "I paid you last Tuesday". A khata app for shop owners solves the record-keeping. The better question is whether your khata should live in a separate app or inside your billing software. This guide covers both.

Why the Paper Khata Costs You Money

  • Missed entries: a busy evening, a forgotten line, and that money is gone.
  • Disputes: without a dated record the customer can see, every balance is negotiable.
  • No reminders: you only remember to ask when the customer walks in.
  • No overview: you cannot easily see the total owed to you, or who has owed the longest.

What a Good Digital Khata Does

  1. Records every credit sale against the customer's name and phone number
  2. Records part payments and shows the running balance
  3. Shows the total udhaar across all customers, sorted by amount or age
  4. Sends reminders on WhatsApp, with your UPI ID so the customer can pay instantly
  5. Lets you set a credit limit per customer
  6. Shares a statement so the customer can see every entry

A simple example

Ramesh buys groceries worth โ‚น1,850 on credit on 2 October. On 9 October he pays โ‚น1,000 by UPI. His balance is โ‚น850. On 12 October he buys โ‚น640 more on credit, taking it to โ‚น1,490. Each step is one entry, dated, and Ramesh can see the same statement you see.

Khata App vs Billing Software with Khata

Standalone khata appBilling software with khata
CostOften freePaid (part of your billing plan)
Credit entryTyped in separatelyAutomatic: the unpaid part of a bill becomes udhaar
What was boughtUsually just an amountThe full itemised bill
Stock and GSTNot connectedUpdated by the same bill
Double entryBill in one place, khata in anotherOne entry does both

If you do not issue bills at all, a free standalone khata app is a fine start. If you already bill customers, keeping udhaar in a separate app means entering every credit sale twice, and the two records will drift apart. In that case the khata belongs inside your billing software.

How to Collect Udhaar Faster

  • Agree the terms up front: "pay by the 5th" is easier to follow up than "pay when you can".
  • Remind before, not after: a friendly reminder two days before the due date gets paid more often than a stern one a month late.
  • Make paying one tap: include your UPI ID or a payment QR in the reminder.
  • Remind in the customer's language: a message in Hindi, Gujarati or Tamil reads as personal, not as a bank notice.
  • Call the oldest dues first: the longer a balance sits, the less likely it is to be paid.
  • Use credit limits: stop extending credit to a customer who is already over their limit, politely and consistently.

Put a QR on every unpaid bill

When a bill has a balance due, a UPI QR printed on it, with the amount pre-filled, lets the customer pay from home that evening. Read our guide to sending bills on WhatsApp with a UPI QR.

The Khata Inside Billux

In Billux, udhaar is not a separate book. When a customer pays part of a bill, or nothing, the balance is recorded against them automatically. From there:

  • A customer dues screen lists everyone who owes you, how much and how old the oldest bill is, with buttons to collect a payment or send a WhatsApp reminder
  • Payments are applied to the oldest bills first, so balances stay clean
  • A credit limit per customer warns you at billing time
  • Reminder rules (for example, 2 days before due, on the due date, 30 days overdue) line up WhatsApp reminders with your UPI ID for you to send in one batch
  • Customer messages can go out in English, Hindi, Gujarati, Tamil or Hinglish
  • A full party ledger for any customer, to print or share

Payment reminders are included in the Standard plan at โ‚น2,500 a year (see pricing). Kirana owners should also read our kirana store billing software guide, and traders with larger credit books our wholesale billing guide.

Setting Credit Rules for Your Shop

Udhaar works best when everyone knows the rules. A few that many shopkeepers use:

  • Credit only for known regulars: a customer who has bought from you for a few months and whose phone number is on record.
  • A limit tied to their normal spend: for example, about two weeks of their usual purchases. Raise it as trust builds.
  • A fixed settlement day: salary day, the 5th or every Sunday. A rhythm makes payment a habit.
  • No new credit over the limit: offer to bill the new purchase as cash or UPI instead. Say it kindly and say it the same way to everyone.

When a customer stops paying

Move from a friendly reminder to a phone call, then to a visit, and stop further credit at the first missed settlement date. Keep the ledger statement ready, because a clear, dated record settles most disputes without a raised voice. Small balances that have gone cold for many months are often better written off than chased, so you can focus on the customers who do pay. See all the collection tools on our features page.

Udhaar and GST

A credit sale is still a sale. If you are GST-registered, the tax on a bill is due for the month the bill is issued, whether or not the customer has paid you yet. A large udhaar book therefore means you are paying GST to the government on money you have not collected. That is one more reason to keep credit limits sensible and collect on time, especially at the end of the month when returns are due.

The Bottom Line

Udhaar is part of how Indian retail works. The goal is not to stop it but to run it like a business: every entry recorded, every customer reminded on time, and paying made as easy as scanning a QR. Do that and your khata becomes a loyalty tool instead of a cash drain.

Frequently Asked Questions

What is a khata app?

A khata app is a digital version of the shop's credit notebook. It records what each customer owes, takes part payments, shows balances and sends payment reminders.

Is a khata app free?

Many standalone khata apps are free. Billing software that includes a khata is usually paid, but it records credit automatically from your bills, so you do not enter the same sale twice.

How do I send a payment reminder to a customer on WhatsApp?

Use your khata or billing software to send a message with the amount due and your UPI ID or a payment link. A short, polite reminder sent before the due date works best.

How can I recover udhaar from customers?

Agree a payment date up front, remind before the due date, include a UPI ID or QR so paying takes one tap, follow up the oldest dues first, and stop extending credit to customers over their limit.

Can I send payment reminders in Hindi?

Yes, if your software supports it. Billux can send customer messages in English, Hindi, Gujarati, Tamil or Hinglish.
