A hardware shop may stock five thousand items, from 6 mm screws to 50 kg cement bags. It sells pipe by the metre, wire by the coil, paint by the litre and tiles by the box. The big change for hardware was cement, which dropped from 28% to 18% on 22 September 2025. Almost everything else in a typical hardware store sits at 18%. A few specific items have moved to 5%, such as bamboo and cane furniture, so check the new GST rates list if you carry anything unusual.
Example: a cement bill
A contractor buys 10 bags of cement at โน380 a bag, tax included. The bill total is โน3,800. The taxable value is โน3,800 รท 1.18 = โน3,220.34, and GST is โน579.66, which splits into CGST โน289.83 and SGST โน289.83 within the state.
Units of Measure Without the Headache
Your software should let you define the units you actually use and bill fractions where needed: 12.5 metres of pipe, 2.750 kg of nails. Set the unit on each item once, and the bill prints "12.5 mtr" instead of a confusing "12.5 pcs". Deliveries and E-way Bills
For a large site order, issue a delivery challan when the goods leave, followed by the tax invoice. An e-way bill is needed when the consignment value is above โน50,000 (some states set different limits for movement within the state). Sell paint by the litre or by pack size (1 L, 4 L, 10 L, 20 L) as separate items, so stock counts match the tins on the shelf. Note the shade code in the line description on the bill. When a customer comes back for "the same colour", you can find it on their old bill in seconds.
Tile shops
Tiles are bought by area but sold by the box. Keep the item in boxes and work out the boxes from the area. For example, a 120 sq ft room with tiles at 16 sq ft per box needs 7.5 boxes. Add 10% for cutting and breakage (132 sq ft) and you need 8.25, so you bill 9 boxes. Give contractors a proforma invoice or quotation first, then convert the confirmed quantities into the tax invoice.
Sanitary and plumbing shops
Fittings come in dozens of sizes. Put the size in the item name ("CPVC Elbow 3/4 inch") so search finds it, and keep a short list of your top 50 fittings on the billing screen for one-tap billing.
Returns of unused material
Contractors often return unused pipes, fittings or unopened cement bags when a site finishes. Take the return against the original bill and issue a credit note at the rate charged on that bill, so stock comes back and the contractor's balance goes down by the right amount, tax included.
